How do I set up direct deposit for employees?

Setting up direct deposit starts with your payroll software. If you’re using QuickBooks Payroll, Gusto, ADP, or a similar platform, direct deposit is built in. You’ll connect your business bank account and verify it by confirming small test deposits the provider sends. This verification step takes 1-3 business days depending on your bank.

Collect written authorization from each employee before depositing wages electronically. You need their consent plus their bank account number and routing number. Most payroll providers include a standard direct deposit authorization form, or you can create your own. The employee fills it out, provides a voided check or bank letter showing account details, and signs it. Keep these forms in your payroll records indefinitely.

Many payroll systems send a prenote before the first real deposit. A prenote is a zero-dollar test transaction that confirms the bank account exists and accepts deposits. This adds a few days to your timeline but prevents failed deposits and frustrated employees on payday. Some systems require prenoting while others make it optional.

Plan for processing time. Direct deposit is not instant. Most payroll providers need to receive funds 2-4 business days before the pay date. If you run payroll on Monday for a Friday payday, you’re fine. If you try to run payroll Thursday afternoon expecting deposits Friday morning, you’ll miss the window and employees get paper checks that week instead.

Once everything is configured, run your first payroll with direct deposit enabled and confirm deposits hit employee accounts on the expected date. Watch for rejected transactions, which usually mean incorrect account numbers or accounts that have been closed. When a deposit fails, you’ll need to issue a paper check and collect updated bank information.

Massachusetts allows direct deposit but you cannot require it as a condition of employment. Employees must voluntarily authorize electronic deposits. If someone prefers paper checks, you need to accommodate that preference.

The initial setup takes some effort, especially if you’re also configuring tax withholdings and pay schedules at the same time. A proper payroll system setup from the start prevents errors that create compliance issues or paycheck mistakes later. After that first run, payroll operates the same way each period with minimal input from you.

If payroll feels like one more thing you don’t have time to manage while running your business, you’re not alone. Many small business owners in MetroWest hand off payroll entirely so they can focus on operations. Bookkeeping services in the Boston area often include payroll processing, which means direct deposit runs automatically each pay period without you touching it.

Should I use QuickBooks Online or QuickBooks Desktop?

For most small businesses, QuickBooks Online is the better choice. It's cloud-based, integrates with modern tools, and Intuit is clearly moving in that direction. Desktop still makes sense for complex inventory or advanced job costing, but the gap is closing.

Do I need a controller if I have a bookkeeper?

A bookkeeper records what happened. A controller helps you decide what to do next. If you have accurate books but still feel uncertain about major financial decisions, that's the gap a controller fills.

When should I hire a bookkeeper for my small business?

Most small business owners wait too long. If you're months behind on reconciliation, stressed at tax time, or spending evenings on QuickBooks instead of running your business, you're already past the point where a bookkeeper makes sense.
